Position Overview:
We are seeking a detail-oriented and proactive Sr. Executive – Purchase to manage procurement and export operations for our Ambernath site. This role is critical to ensuring timely and compliant sourcing of materials and services essential to pharmaceutical R&D and manufacturing.
Key Responsibilities:
Export & Logistics Coordination
- Manage commercial and sample export shipments in compliance with DGFT, customs, and pharma export regulations.
- Coordinate with Warehouse, QC, QA, and Sales & Marketing for shipment readiness and documentation.
- Liaise with freight forwarders for quotations, contracts, and local transport arrangements.
- Ensure timely sharing of shipping documents with customers and external testing labs.
- Track shipments and maintain accurate export records for audits and regulatory reviews.
Pharma Procurement Operations
- Process purchase requisitions for lab consumables, production materials, ETP, IT, HR/Admin, and other site needs.
- Negotiate with vendors for competitive pricing, delivery timelines, payment terms, and compliance with pharma-grade standards.
- Prepare comparative statements, purchase orders, and agreements aligned with GMP procurement protocols.
- Maintain vendor records and follow up for timely deliveries and documentation.
Vendor & Material Qualification
- Collaborate with QA, QC, R&D, and Regulatory Affairs for vendor and material qualification.
- Support vendor onboarding in SRM and AX systems as per Polypeptide procedures.
- Facilitate item and vendor creation forms for QA approval and AX updates.
Reporting & Compliance
- Update cost savings and cost avoidance data in SRM.
- Export and validate monthly purchase order data using Qlik for reporting.
- Contribute to sustainability initiatives such as CO₂ Footprint tracking and green procurement practices.
Must-Have Qualifications:
- Graduate/post graduate or related field.
- 3–5 years of experience in pharma procurement and export operations.
- Strong understanding sourcing and documentation.
- Proficiency in ERP systems.
- Excellent negotiation, coordination, and documentation skills.
Preferred Qualifications (Add-ons):
- Experience in handling regulated shipments and customs documentation for APIs and intermediates.
- Familiarity with vendor audits, material specifications, and change control processes.
- Exposure to pharma compliance systems, including ISO 9001, ISO 14001, and EHS standards.
